When your professor requests that you write your paper according to APA style (the official style of the American Psychological Association ), you will need to follow several formatting rules that will make your paper more coherent and easier to read. While many of these rules seem basic across all types of writing, APA style does have a handful of specific and unique rules that you must obey.Start a new paper with these tips.
As a former English teacher for high school students, I offer you this checklist of 15 rules to refer back to when you need help on formatting a particular element in your paper. It does not matter the type of academic paper that you are writing—a research paper, thesis paper, term paper or dissertation—APA style format remains the same.
My advice applies to the latest edition of APA style which is the 6th edition. You should do most of the pre-formatting (for margins, typeface and size, and page numbering) before you write the first sentence.Rule # 1: End of Sentence Punctuation
This rule for APA style has been updated and clarified in the latest version of the APA style guide. It's now recommended that you use two spaces after a period that ends a sentence (instead one space) because two spaces enhance the readability of the paper. If you have a habit of spacing only after a period that ends a sentence, you can use your word processor's "Find and Replace" function to change all instances to two spaces.

The recommended font is Times New Roman. with 12-point type size. Times New Roman is a standard font installed on all computers. You have no reason to use a different font. All text in the paper should use this font and type size. For high school students: always type your APA style paper; do not hand write the paper. Never use a size above 12 pt for Times New Roman to make your paper appear longer than it truly is.

Throughout the main text, you may use headings to break up the text into different sections. APA style has five levels of headings. each of which indicates main headings and various sub-headings based on the way you format them. Level one is centered and bold; level two is flush left and bold; level three is flush left, bold, and italicized; level four is indented, bold, and italicized; and level five is indented and italicized.

Use double-space for your ENTIRE paperRule # 15: Title Page
The Title page is the first page of your paper. It is also the first page that your professor sees and knows if you have followed APA style accurately. The Title page must include:
1)a running head in all CAPS. Even though you are providing the full title of your paper on this page, APA style still requires you to include a running head. A running head is simply a shortened version of your title. The running head is always flushed left at the top. Note: You include the words "Running head:" before the abbreviated title on the title page only. All other pages will include the abbreviated title without the prefix.
2)the page number. Yes, even on the Title page you must include the page number--which is the number 1. Never spell out page numbers. The page number is always flushed right at the top .
3)the title. Center the full title of your paper and position it in the UPPER half of the page. Keep your title under 15 words. Your title will appear centered both horizontally and vertically. Do NOT uppercase the entire title; use Initial Capital Case.
4)your name. Remember you are using double-space for your entire paper. This means your full name appears two spaces below the title. Just put your full name; do not include the word "by" as in: "by Jennifer Haskill"
5)your institution affiliation. Double-space after your name and provide the name of your school, such as Rutgers University.
EVERYTHING on the Title page is CENTERED (except the running head and page number).

You can quickly format a new paper in APA style using MS-Word or any common word processing program. Once you set up the specs to handle the basic formatting elements, save the document as a template to use for future papers. It typically takes me under 10 minutes to format a new paper.
One other item to remember is that some assignments will require you to follow a slightly different set of guidelines than what APA style requires. If your professor has some specific rules to follow for your paper, then follow his rules. He may prefer using an earlier edition of APA style.
How to Document Sources in APA Style
References provide the information necessary for a reader to locate and retrieve any source you cite in the body of the paper. Your reference list should appear at the end of your paper. It should begin on a separate page from the text of the essay under the label References (with no quotation marks, underlining, etc.), centered at the top of the page.
• Author's names are inverted. Begin with last name, followed by a comma, then by middle and first initials. Example: Smith, M. F. Use "&" instead of "and" when listing multiple authors. Example: Calfee, R. C. & Valencia, R. R.
• Date: The publication date should be enclosed in parentheses. Example: (1998)
• Title: Italicize titles of books and periodicals. Capitalize only the first word of a title and subtitle of a work. Close with a final period. Example: Curing the crisis: Options for America's health care.
• Location: You should always list the city, but you should also include the state abbreviation if the city is not well known for publishing. You can omit state for the following cities: Baltimore, Boston, Chicago, Los Angeles, New York, Philadelphia, and San Francisco. Place a colon (:) after location. Example: Springfield, MA:
• Publisher (for books): Use the full name of the publisher, but drop Co. Inc. Publishers, etc. Retain Books or Press. Close with a period. Example: Merriam-Webster.
• Reference list must be double-spaced. All lines after the first line of each entry should be indented one-half inch from the left margin. The reference list should be alphabetized by authors' last names. If you have more than one work by the same author, order them by publication date, oldest to newest. If no author is given for a particular source, alphabetize using the title of the work.

PERIODICALS - General Format

The cover page should have a running head which should be capitalized and in twelve points New Times Roman font. In the cover page, the running header is proceeded by “Running head” statement flush left, which is usually not included in the other pages. An example of an illustration would be; “Running head: EFFECTS OF DRUG ABUSE 1”. The cover page should also have the title of the essay which is aligned at the center. The title should be not be underlined, bolded or written in italics. Also, the title should not exceed approximately fifty words. The name of the author/student and institution affiliations should follow. Page numbering should be done in the top right corner of each page.
Papers exceeding five pages should have an abstract. The abstract conveys the key points discussed in the paper. The word “abstract” should be aligned at the center. The first line of the abstract should not be indented like the first lines of the other paragraphs. One may choose to include the keywords after the completion of the abstract. The whole text of the paper should have a twelve point New Times Roman font. Another notable consideration is that the abstract should be approximately one hundred and fifty to two hundred words.Headings and subheadings
Headings and subheadings should always have a different font style from the main title. The mistake of capitalizing titles of theories should be avoided. Notably, the main title should not be underlined, written in italics or bolded. A-B-C level system is the most preferred style of arranging the title, headings, and the subheadings. For instance, the B-level heading should have a different font style from the title. More so, the first line of the paragraph following the B-level should not be indented, and it should be aligned to the left. Level C headings also should have another style to differentiate them from the level B headings. Notably, the paragraph that follows should directly continue from the heading.In text citation
APA style of citation has the following chronological format;
An example of an illustration would be, “(Edwin, 2016)”. However, when directly quoting work, the page number of the page should be included, which is abbreviated as P. A signal phrase with the author’s last name should be used to introduce the quotation. During instances when the signal phrase does not include the author’s name, an in-text citation with the page number should follow. In the cases of two or three authors the format is the same but when they exceed three authors “et al.” is used after the name of the first author. For instance, “(Edwin et al. 2016)”. In other cases, a semicolon is usually used to join two or more citations regarding the same phrase but should follow alphabetically. An example would be, (Edwin, 2016; Morgan, 2016).References
The reference list should be on its page, and the heading “References” should be aligned at the center. This heading should not be underlined, bolded nor written in italics. The format of the references should be as follows, the last name of the author, comma, first name initial, full stop, space, opening brackets, year, closing brackets, full stop, space, the title of the publication, full stop, space, publication press and lastly a full stop. An example of an illustration would be; “Edwin, R. (2015). Importance of Health Information systems. Journal of evidence based change.
